Rental Conditions – Group Accommodation Château Frandeux

Rental Property

1. The Château can be rented for a weekend (3 nights), a midweek or a full week. The Château has 18 rooms as standard. A maximum of 8 additional rooms can be rented and up to 9 extra beds can be added. For additional rooms and beds, a minimum stay of 3 nights applies.

2. The Boulangerie can be rented in its entirety for a weekend (3 nights), a midweek or a full week.

3. Rooms in the Écurie can only be rented additionally once all extra rooms in the Château have been rented. A minimum stay of 3 nights also applies here.

4. The large hall, small hall and Pauwenzaal (dining room and kitchen) in the Écurie can be rented additionally, separately from each other.

5. The entire estate is exclusively available only to groups renting all three buildings (Château, Écurie and Boulangerie). If this is not the case, the presence of another group on the estate must be taken into account. When renting the Château and/or the Boulangerie, you will have exclusive use of that building.

Rental Period

6. Unless otherwise agreed in writing, the following arrival and departure times apply:

• Arrival: 15:00 for organisation and chef, 17:00 for participants.
• Departure: 09:00 from the bedrooms, 10:00 from the building and 11:00 from the premises.
  
  

• Weekend: 3 nights – arrival Friday, departure Monday.
• Midweek: 4 nights – arrival Monday, departure Friday.
• Week: 7 nights – arrival Friday, departure Friday.

Reservations and Options

7. An option can be taken free of charge one or more years in advance. Twelve months prior to the desired rental period, the option must be converted into a definitive reservation by payment of a 10% deposit. If this payment is not received in time, the option will lapse.

8. If the option is taken within 12 months prior to the desired rental date, you have a maximum of 2 weeks after receipt of the quotation to respond. Upon agreement, you will immediately receive the 10% invoice. If no response is received within 2 weeks, the request will lapse.

9. The booking is only definitive once the 10% deposit has been received.

10. Reservations can only be made by e-mail. A reservation by e-mail is binding. In case of cancellation after reservation, cancellation costs are due (see the section Cancellation). After receipt of the reservation, you will receive a confirmation by e-mail.

11. The current rental rates can be found on our website: www.chateaufrandeux.be. The stated prices apply to the calendar year in which the rental takes place. For subsequent years, we reserve the right to adjust prices based on inflation or changed indexation. If you receive a quotation more than one year in advance, price changes may still be applied.

Payment

12. The deposit amounts to 10% of the total rental sum and must be paid within 14 days after receipt of the invoice.

13. The remaining amount must be paid no later than 6 weeks before the start of the rental period. You will receive an invoice for this in due time.

14. For last-minute requests within 17 weeks before the rental period, a discount of 15% applies, provided that 50% of the rental sum is paid immediately as a deposit.

15. If full payment is not received in time, Du Coeur BV reserves the right to charge a fine of €100.

16. Energy consumption costs are not included in the rental price. Meter readings will be taken upon arrival and departure.

17. After the end of your stay, you will receive a final invoice including the energy costs and any additionally used rooms.

Stay

18. Smoking is prohibited in all accommodations and on the entire estate (including the forest). Smoking is only permitted at the outdoor smoking areas designated by the manager. In case of violation, Du Coeur BV reserves the right to charge a fine of €100 plus any damage and cleaning costs.

19. Pets are not allowed in the buildings or on the estate under any circumstances.

20. Prior to arrival, the tenant must provide a room allocation with the names of all persons present. Changes during the stay must be reported immediately to the manager in connection with safety regulations.

21. For persons who do not stay overnight but do make use of the facilities, a day rate of €10 per person applies.

22. The tenant is responsible for compliance with the house rules, as stated in the document House Rules Arrival and Departure Château Frandeux. The manager supervises compliance. In case of serious violations, access to the accommodation may be denied with immediate effect, without any right to refund.

23. Cleaning costs are included, with the exception of the kitchen. This must be left clean. The chef will receive a checklist upon arrival.

24. The accommodation must be handed over tidy and swept clean. Follow the instructions on the form Arrival, Stay and Departure, present in every room.

25. The estate, including forest and lake, is accessible exclusively to tenants and managers. Tenants of the Boulangerie have their own bathing area and fire pit, ensuring the privacy of all guests.

26. Camping, fishing or hunting on the estate or in surrounding private forests is prohibited.

Cancellation

27. Cancellation is possible under the following conditions:

• Up to 17 weeks before commencement: 10% of the rental price due

• Between 17 and 6 weeks before commencement: 50% of the rental price due

• Between 6 and 2 weeks before commencement: 90% of the rental price due

• Within 2 weeks before commencement: 100% of the rental price due

28. Cancellation must be done by e-mail.

Liability

29. Damage to the grounds, buildings or inventory is at the expense of the tenant. In case of loss of a room key, €30 will be charged via the final invoice.

30. Château Frandeux accepts no liability for damage of any kind arising from this agreement. No insurance has been taken out for tenants. The tenant must verify whether his/her family or liability insurance provides sufficient coverage.

31. No rights can be derived from any inaccuracies on the website.

32. Château Frandeux is not liable for damage or injury resulting from the use of facilities such as the sauna, infrared cabin, rowing boats or the lake.

Problems / Complaints

33. All buildings are regularly inspected by the managers. However, elements such as peace, privacy and view cannot be fully guaranteed.

34. If something is not in order, this must first be reported to the on-site manager. If the problem is not resolved, contact can be made with the parent company: Du Coeur BV.

35. If the tenant leaves the stay prematurely without consultation or mutual agreement, any claim to a refund or compensation will lapse.
